Managing Your Class Schedule
The Schedule page allows you to visually organize all of your gym's classes, assign instructors and skill levels, and embed a live, auto-updating calendar directly onto your website.
1. Adding a New Class
You can create one-off events (like a special weekend seminar) or recurring weekly classes (like your standard fundamentals classes).
- Select Schedule (calendar icon) from the left navigation menu.
- Select the Add Class (+) floating button in the bottom right corner.
- Fill out the class details: a required Class Name, and Start Time and End Time. An optional Location, Instructor Name, and Max Attendees are always available; Category and Skill Level appear only once your gym has class categories or skill levels configured.
- If this class happens every week, leave Repeats Weekly toggled on (it's on by default) and pick the Days it runs — tap individual day chips, or use the Weekdays / Every day shortcut. For a one-off event, toggle Repeats Weekly off and pick a Specific Date instead.
- Select Create Class to add it to your board.
[!NOTE] The system will automatically delete non-recurring, one-off classes from the board once their specific date and time have passed, keeping your calendar clean!
[!NOTE] Set a Max Attendees limit and it shows right on the class card as Max #, so your team always knows a class's cap at a glance. A class that runs on more than one day shows those days on its card too, like Mon · Wed · Fri.
2. Rescheduling and Dragging Classes
The Schedule board displays your classes in columns organized by day of the week, automatically sorted in chronological order.
To quickly reschedule a class to a different day:
- Press and hold down on the class card you want to move.
- Drag the card to a different day's column and release it.
- The system will automatically update the schedule and sort it correctly based on the class time.
3. Editing or Deleting a Class
If you need to change an instructor, update the time, or completely remove a class, you can do it directly from the board.
- Tap on the specific class card you want to modify.
- Make your changes in the form and select Save Changes. For a class running on several days, uncheck a day chip to drop it from that day, or check one to add it.
- To remove the class entirely, click the delete (trash icon) in the top-right corner of the form. For a class running on several days, you'll be asked to delete This day only or All days.
[!NOTE] Removing a day — by unchecking it or deleting it — deletes the class on that day, along with any Mat Log RSVPs athletes made to it. If anyone has an upcoming RSVP, you'll be asked to confirm first.
4. Cancelling or Restoring a Class Session
Instructor's out sick, or you're closed for a holiday? Cancel just that one occurrence without deleting or rescheduling the whole class — available for the next 14 days.
- Select the Session options (⋮) menu on the class card.
- Pick the date to cancel, like Cancel today's session or Cancel Wed Sep 3.
- Select Cancel session to confirm. Members who RSVP'd in Mat Log (the athlete companion app) will see that day marked as cancelled.
To bring it back, open the same menu, select the cancelled date (now labeled Restore), and confirm with Restore.
5. Embedding the Schedule on Your Website
You can add your live Flow Roll schedule directly to your gym's website (like WordPress, Wix, or Squarespace) so members always know exactly when to show up. Class changes you make in Flow Roll flow through to your website automatically; styling changes publish when you press Copy Code & Save. If an update doesn't appear, hard-reload the page (Cmd+Shift+R on Mac, Ctrl+F5 on Windows).
- Select the Embed Schedule button at the top right of the page.
- Under Colors, style the schedule to match your site — set the Card Background, Border, Primary Text, Secondary Text, Accent, and Accent Chip Background colors (or click Reset to defaults to start over).
- Pick a Time Format (12h (1:30 PM) or 24h (13:30)) and a Border Style (Round or Sharp).
- Click Copy Code & Save to copy the HTML snippet and save your styling.
- Paste the snippet into the custom HTML or Code block within your website builder.
