Understanding Your Dashboard

The Dashboard is the command center for your academy. It gives you a real-time overview of your gym's performance, including revenue trends, failed payments, and recent cancellations.

[!IMPORTANT] The Flow Roll dashboard relies directly on data from Stripe. If your Stripe account is not linked, you will only see a "Demo Mode" with sample data. To view your real metrics, navigate to the Account page, scroll down to the Stripe Integration section, and click Link Stripe Account to Gym.


1. Navigating Your Metrics

Your dashboard is designed to give you a complete picture of your academy's financial health by pulling data directly from Stripe.

The Revenue Chart

At the top of the dashboard, you'll see a bar chart comparing your Current Period revenue against the Previous Period.

2. Changing the Date Range

By default, the dashboard shows data from the last 30 days. You can easily adjust this to analyze specific months, quarters, or promotional periods.

  1. Select Dashboard (home icon) from the left navigation menu.
  2. Click the Date Range button (calendar icon) located above the chart.
  3. Choose your desired start and end dates from the calendar popup.
  4. Select Save. The charts and metrics will instantly update to reflect the new time period.

3. Viewing Transaction Details

You can view detailed information for specific refunds, declined payments, and delinquent invoices directly from the dashboard.

  1. Scroll to the Revenue Summary cards below the main chart.
  2. Click on any metric that features a list (such as Refunds or Delinquent Invoices).
  3. Select a specific transaction from the list to view the member's details, the reason for the failure, and the exact amounts involved.

4. Reviewing Cancellations & Paused Members

Understanding churn is vital for a growing academy. The dashboard automatically tracks members who have recently paused or canceled their subscriptions within your selected date range.

  1. Scroll to the bottom of the Dashboard page.
  2. Locate the Cancellations and Paused Members lists.
  3. Select any member in the list to view their plan details and the specific dates their subscription was paused or canceled.

5. AI Summaries

If you have enabled AI Summaries in your Account Settings, you will see a smart, AI-driven overview at the top of your dashboard.

Flow Roll's AI Assistant automatically analyzes your attendance trends, revenue changes, and membership growth over the selected period and provides a plain-English summary of how your gym is performing, highlighting areas of success and pointing out potential issues (like a spike in declined payments).


6. Privacy & Demo Modes

Hiding Financial Values: If you want to view your dashboard in a public space (like the front desk) without exposing your gym's revenue numbers, you can hide them.

  1. Go to the Account page.
  2. Under Configuration, toggle Show Dashboard Values off.
  3. Your dashboard will now display a "Values Hidden by Admin" message instead of the charts.

Demo Mode: If you haven't linked your Stripe account yet, the dashboard will operate in Demo Mode, displaying sample data so you can see how the analytics look before fully committing.
